The Role

Lending Loop is looking for an Office Manager to provide administrative and day-to-day operational support to our team and the CEO. This role requires an experienced professional with excellent communication skills, the ability to multitask in a fast-paced environment and maintain confidentiality and discretion when managing internal and external stakeholder relations. Key Responsibilities

  • Take incoming calls for general lines and be the face and voice of our organization

  • Respond to and help the team to manage and prioritize customer support inquiries

  • Oversee calendar management, scheduling meetings, travel arrangements and email management for the CEO

  • Schedule and prepare agendas for meetings, conduct calls or issue emails on behalf of the CEO as required, while maintaining a high level of professionalism, confidentiality and discretion

  • Assist with recruiting - screening resumes, scheduling interviews

  • Helping with general HR tasks like onboarding new employees, managing our company wiki and lunch & learns

  • Manage tasks required for the smooth and efficient functioning of the office such as: maintaining cleanliness/orderliness of the office including kitchen and conference rooms, oversee/manage any external service people/deliveries, manage office IT, manage interactions with landlord, order furniture, office supplies and kitchen supplies, send/receive couriers, etc.

  • Reconcile receipts, oversee office expenditure and make recommendations to improve efficiencies

  • Expense reconciliation and billing management

  • Plan initiatives to help maintain and improve on our productive and fun culture

  • Organizing team events & retreats as well as external marketing/customer events and other additional administrative or operational support as required


Desired Qualities, Skills, and Experience

  • 1-2 years experience providing administrative support to C-level executives or department managers

  • Post-secondary diploma or degree required

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and GSuite

  • Desire and ability to work in a fast-paced environment

  • Excellent customer service, written and oral communication skills

  • Excellent attention-to-detail, organizational and time management skills

  • Ability to follow procedures and guidelines as required

  • Ability to ensure security of confidential information - discretion and confidentiality required


Bonus Points

  • Experience in an office operations role at a startup

  • Post-secondary degree or diploma in Business Administration or related

  • Experience with Salesforce CRM or similar software tools
